As our operations grow, we are seeking a skilled File/Record Data Entry Operator to maintain and manage our digital records with precision.
The Remote File/Record Data Entry Operator is responsible for accurately organizing, entering, and maintaining digital records, property files, and client information. This role requires strong attention to detail, excellent organizational skills, and the ability to work independently. The ideal candidate will be comfortable working with large volumes of information and ensuring that all records are consistently updated and properly stored.
Key Responsibilities
Accurately enter and update property, client, and transaction data into company databases and CRM systems.
Maintain, organize, and categorize digital files and documents.
Review records for accuracy, completeness, and consistency.
Ensure timely updating and archiving of files as needed.
Convert physical or scanned documents into digital formats when required.
Verify document authenticity, formatting, and labeling before saving to the system.
Prepare documents and records for internal use or distribution to staff.
Conduct routine audits to ensure data integrity and proper file organization.
Identify data errors or missing information and correct or escalate as needed.
Maintain compliance with company data standards and filing procedures.
Communicate with administrative staff and real estate agents to obtain missing records or clarify data inconsistencies.
Provide updated records and files to team members upon request.
Assist with general administrative tasks such as document formatting, file cleanup, and data reporting.
High school diploma or equivalent required; additional administrative training or coursework preferred.
Proven experience in data entry, file management, record keeping, or administrative work.
Strong typing speed with high accuracy.
Excellent attention to detail and organizational skills.
Proficiency with Google Workspace or Microsoft Office (Excel, Word, Docs, Sheets).
Ability to work remotely with minimal supervision.
Experience with CRM systems or cloud-based filing systems.
