Job Description
An Ultra-High-Net-Worth private family based in New York, NY with additional residences in upstate New York and Southeastern Europe is seeking an accomplished and highly strategic Chief of Staff/Estate Manager/House Manager to report to the Principals and have consistent communication with the Family Office in order to provide the physical and financial management of their residences, the staff in each home, and all construction and renovation projects. Candidates must have a minimum of 10-15+ years of applicable experience and a Bachelor’s degree is required. This role demands a proven leader with a distinguished record in luxury estate management, superior operational expertise, strategic financial budgeting and management, and the ability to deliver consistently flawless service in a highly sophisticated environment. Ideal candidates should be incredibly polished and professional, extremely organized, able to juggle multiple priorities at once, prioritize and manage their time well, and “roll with the punches.” They should also possess a thick-skin, excellent interpersonal and communication skills to manage the staff already in place and be incredibly tech savvy to create SOP’s for each home and ensure a seamless standardization of all processes. - Salary depends on experience (200-350k base plus discretionary bonus; up to 400k max all-in comp). 100% company-paid medical/dental benefits, 401k match, 2 weeks PTO (potentially flex to 3) in 1st year, etc.
- Hours: 8:00/8:30am – 6:00/6:30pm in-office. 24/7 support. 5 days/week. Weekend work. Flexibility to travel.
Responsibilities:- Provide executive leadership, strategic planning, and operational direction for all properties, ensuring seamless day-to-day management and long-term preservation of assets.
- Oversee, mentor, and manage all household staff, instilling a culture of excellence, discretion, and professionalism across all service functions.
- Direct all aspects of property maintenance, capital projects, and renovations, ensuring estates remain in museum-quality condition at all times.
- Establish and enforce best-in-class service standards, ensuring every detail meets or exceeds UHNW expectations.
- Build and maintain strong, discreet relationships with vendors, contractors, and service providers, negotiating contracts and ensuring the highest level of performance and reliability.
- Monitor and manage budgets, expenditures, and reporting with fiscal discipline and accountability.
- Act as the principal point of contact between principals, staff, and third parties, ensuring communication is streamlined and objectives are executed with precision.
Required Qualifications:- Bachelor’s degree in Real Estate, Business Administration, Hospitality Management, or a related discipline required; Master’s degree strongly preferred.
- 10–15+ years of senior-level experience managing luxury private estates in the US and Europe.
- Demonstrated success overseeing large teams and complex, multi-property operations with uncompromising standards.
- Exceptional leadership, organizational, and interpersonal skills, with the ability to command respect, inspire loyalty, and drive performance.
- Deep understanding of luxury service protocols, estate preservation, and vendor management in a UHNW context.
- Proven ability to operate with the highest levels of discretion, judgment, and confidentiality.
